There had been no shows in 2020 and few in 2021, because of COVID. In 2021, we had held the Old Bike Gathering (OBG) and held our October lunchtime bike meet and these had gone well. We also had the Branch stand at Popham in 2021. We had a guest from MAG (Peter Seymour) who would talk later in the agenda about MAG.<\/p>\n\n\n\n<p><strong>3.2&nbsp;&nbsp;&nbsp;&nbsp; Secretary\u2019s Report<\/strong><\/p>\n\n\n\n<p>The Secretary, Don Maclean, reported that Branch membership was 160 members (159 full, 1 associate). There had been about 20 new members during the year, but more had left, so membership was slightly down on last year (there were 169 members in February 2020). The relatively new Oxfordshire Branch was probably responsible for some decline in our membership, but our Branch still had a large catchment area. Most members join or renew online via the national website and the Branch is not directly involved.<\/p>\n\n\n\n<p><strong>3.3&nbsp;&nbsp;&nbsp;&nbsp; Treasurer\u2019s Report<\/strong><\/p>\n\n\n\n<p>The Treasurer, Mick Billing, advised the meeting of the current financial status of the Branch and circulated detailed accounts of the Branch expenditure and income for the twelve months to 11\/1\/21 and the bank balance on that date. The accounts were recorded to the nearest 1p. Figures below are rounded to the nearest \u00a31.<\/p>\n\n\n\n<p>Total income for the year was \u00a31262 and total expenditure was \u00a31223, giving a surplus of \u00a339.<\/p>\n\n\n\n<p>There were no summer shows in 2020, but \u00a3230 worth of summer show t-shirts were sold. There were some costs associated with both Classic &amp; Custom (C&amp;C) and the OBG shows in 2020 even though they were subsequently cancelled and with no further income from them, this resulted in losses. We had paid a returnable deposit of \u00a375 per show to the BCSA, which had subsequently been repaid. Loss on each show was \u00a392 (C&amp;C) and \u00a323 (OBG) after allowing for the returned deposits.<\/p>\n\n\n\n<p>Cash in the bank was \u00a35096, cash in the float was \u00a361.12 and stock and fixed assets were \u00a31414, giving total assets of \u00a36571.&nbsp;<\/p>\n\n\n\n<p>There some discussion as to why we had to pay the \u00a375 deposits for shows that never took place. Mick stated that they were deposits to cover potential damage to BCSA premises, but they had been returned. He said that we had not been asked to pay this in previous years. Don Maclean questioned why we had to do this as we had 3<sup>rd<\/sup> Party Liability Insurance arranged through the TOMCC for shows.<\/p>\n\n\n\n<p><strong>3.4&nbsp;&nbsp;&nbsp;&nbsp; Scribe and Webmaster\u2019s Report<\/strong><\/p>\n\n\n\n<p>The Scribe, Nick Swain, reported that Branch reports had been submitted to Nacelle every month, each with one or two photographs.<\/p>\n\n\n\n<p>He reported that he had taken over responsibility for the Branch website and Facebook page from Paul Ralph in June. Only the domain name (berkshiretomcc.org.uk) had been transferred and he had built a new website linked to it. The old website had been closed down. The new website was kept up to date and held photographs of the latest rides and meetings on it as well as general information about the Branch and upcoming events.<\/p>\n\n\n\n<p>It had not been possible to transfer the old Branch Facebook page, so a new one had been started in June. Nick encouraged members who were on Facebook to follow, like and share posts from the Branch Facebook page, as this was would help the information to reach more people.<\/p>\n\n\n\n<p>Chris Mullard said he had been asked by another member if the photographs of past events which were on the old website could be put on the new website. He also said he was updating the Branch history and expected to complete this by Christmas. Don Maclean said that he had a lot of photographs from old shows, some of which could be put on the website.<\/p>\n\n\n\n<p>Nick said he had focussed up to now on putting up to date information with photographs from recent events on the website. He agreed to put more photographs from older events on the website. He would put the updated Branch History on the website once he had received it.<\/p>\n\n\n\n<p><strong>3.5&nbsp;&nbsp;&nbsp;&nbsp; Runs Coordinator\u2019s Report<\/strong><\/p>\n\n\n\n<p>The runs co-ordinator, Collin Fox, reported that we continued to have a lot of runs in the past year and continued to have several per month. He had prepared a flipbook summary of the runs we had in 2020 which can be accessed via the website. He continued to run Facebook and Whatsapp groups which were used to notify people of runs. These groups had been gradually growing with several new members joining the groups, the Branch and going on rides.<\/p>\n\n\n\n<p>There was also a YouTube channel (TOMCC Berkshire Runs) which had some videos of Branch rides on it including a summary of the 2020 rides.<\/p>\n\n\n\n<p>Collin said that most runs were organised and led by him and encouraged other people to organise and lead runs and organise them via the Whatsapp\/Facebook Groups.<\/p>\n\n\n\n<p><strong>3.6&nbsp;&nbsp;&nbsp;&nbsp; Regalia Officer\u2019s Report<\/strong><\/p>\n\n\n\n<p>The Regalia Officer, Derick Nobbs, said that as we had not had a C&amp;C show in 2021 we had not had year specific coloured t-shirts this year as we would normally do. &nbsp;However, a generic bottle green and silver t-shirt which did not reference a show or a specific year had been produced and a number sold.<\/p>\n\n\n\n<p>Collin had produced a new design of shirt and two examples in different colours were shown to the meeting. These had a colour photographic image of a Triumph motorbike printed on them together with \u201cTriumph Owners Motor Cycle Club\u201d printed above the image and Berkshire Branch printed below the image. They did not have the Branch logo or the Triumph logo or dates or references to shows.<\/p>\n\n\n\n<p>No bulk order for these shirts had been made so far, but were displayed as examples of the type of t-shirt we could produce and asked members to consider them.<\/p>\n\n\n\n<p>Derick proposed that at the next AGM (which would be in February 2022), a final design could be agreed and a bulk order made. The new design of shirts would also make it easier to order one off samples.<\/p>\n\n\n\n<p>Steve Yarwood questioned why the shirts had Berkshire on them rather than Royal Berkshire. Previous t-shirts in recent years had all had Royal Berkshire on them and this was used in the Branch logo on recent patches and badges. Derick stated he believed the official name of the Branch in TOMCC was the Berkshire Branch,<\/p>\n\n\n\n<p><strong>3.7&nbsp;&nbsp;&nbsp;&nbsp; Tools Registrar\u2019s Report<\/strong><\/p>\n\n\n\n<p>The Tools Registrar, Mike Ryall, reported that the Branch collection of specialist Triumph tools continued to be borrowed and returned throughout the year. There were small group of people who were regular users of the tools. He reported that the club now had an ultrasonic cleaner, which was held by Don, who was prepared to clean parts for members with it. As an example, he reported that he used it to clean a pair of carburettors for Nick. Nick confirmed that he was happy with the results and his bike now ran better as a result.<\/p>\n\n\n\n<p>The register of Branch tools was available on the website for Branch members to look at and download which also included details on how to contact Mike by email if they wanted to borrow a tool.<\/p>\n\n\n\n<p><strong>4.&nbsp; Resignation of Existing Committee and Election of New Committee<\/strong><\/p>\n\n\n\n<p>The existing committee formally resigned, but all had agreed to stand again and had been proposed and seconded on the nominations form on the notice board for the last month. No other candidates had been nominated. The meeting was therefore asked to vote to reappoint them until the next AGM, which is planned to be in February 2022. The motion was put to the floor and carried. Local issues that could impact motorcyclists include:<ul><li>Proposals to build new cycle paths across the town.<\/li><li>Potential introduction of a congestion charge in the future.<\/li><li>Motorcycling is now included within Reading\u2019s transport strategy<\/li><\/ul><\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>MAG are actively engaged with government at the national level. National issues that impact motorcyclists include:<\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>The new highway code that prioritises: pedestrians, then cyclists and then everyone else (including motorbikes who are not treated as a special case)<\/li><li>Concerns about automated or semi-automated driving systems in cars not allowing for motorbikes correctly<\/li><li>New \u201canti-tampering\u201d proposals, which could make it illegal to make certain changes to your bike and fit non-standard parts<\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>A new MAG national chairman, Neil Liversidge, has been elected who is a controversial figure.<\/li><\/ul>\n\n\n\n<ul class=\"wp-block-list\"><li>As result, there had been changes to Reading MAG Group with many of the existing officers resigning. &nbsp;<\/li><\/ul>\n\n\n\n<p>A proposal was made to continue to pay for Branch Associate membership (\u00a3100) of MAG for another year. The motion was put to the floor and carried.<\/p>\n\n\n\n<p><strong>7.&nbsp; &nbsp;&nbsp;&nbsp;&nbsp; Proposal:&nbsp; Renewal of NABD Membership<\/strong><\/p>\n\n\n\n<p>The Treasurer reported that this year he had renewed our membership of NABD at a cost of \u00a340, but no further donation to NABD had been made. He noted that in previous years we have added a donation to bring it up to \u00a3100, but this was dependent on making some additional money at the show. It was agreed to make no additional donation at this time and for this to be discussed againat the next AGM in February 2022.<\/p>\n\n\n\n<p><strong>8.&nbsp; &nbsp;&nbsp;&nbsp;&nbsp; Christmas Party<\/strong><\/p>\n\n\n\n<p>Nick Swain noted that at the 2020 AGM there had been a discussion about alternatives to the traditional Christmas dinner that we have normally had on a Saturday evening in December. These had not been taken further because of Covid in 2020.<\/p>\n\n\n\n<p>Nick proposed that this year, instead of having a Christmas dinner on a Saturday, we should treat the Thursday club night of the 16<sup>th<\/sup> December as a Christmas celebration, as it is likely to be the last club night before Christmas for many people. (The following Thursday being the day before Christmas Eve). He proposed that this would include a free buffet, have Christmas music on and the bar would have Christmas decorations. We had been given a quote from the BCSA caterers of \u00a37 per head for this and this would be covered from club funds.<\/p>\n\n\n\n<p>The motion was put to the floor and carried.<\/p>\n\n\n\n<p>There was some discussion about the details and it was agreed that these could be left to the committee to finalise.<\/p>\n\n\n\n<p><strong>9. &nbsp;&nbsp;&nbsp;&nbsp;&nbsp; National AGM<\/strong><\/p>\n\n\n\n<p>The committee reported that the next TOMCC National AGM will be held at the BCSA on 10 April 2022 and hosted by the Branch. This had been reported in the October issue of Nacelle. The National Committee is liaising directly with the BCSA for the hire of the hall and lunchtime catering and will publicise the AGM itself. We have the opportunity to do more than that to enhance the experience for members of other Branches coming to the AGM and raise the profile of the Branch within the Club. It was noted that many people are likely to stay over, at least for Saturday evening.<\/p>\n\n\n\n<p>There was some discussion on this. Suggestions included:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Having the Branch gazebo on the lawn to display Branch information<\/li><li>Having a bike display on the lawn<\/li><li>Providing free camping for people attending<\/li><li>Laying on transport for people staying at a local hotel (eg: The Old Bell)<\/li><li>Organising a ride-out on Saturday<\/li><li>Entertainment on Saturday night (eg: skittles evening)<\/li><\/ul>\n\n\n\n<p>The committee agreed to consider this further.<\/p>\n\n\n\n<p>&nbsp;<strong>10. &nbsp;&nbsp;&nbsp; Next Year\u2019s Events<\/strong><\/p>\n\n\n\n<p>Derek Young raised the question of whether we should have a C&amp;C summer show next year. Attendance at summer shows has been low in recent years and if we have poor weather, we have sometimes lost money on them. We have not had enough people actively involved in organising them in recent years and we would need more people involved to run them well. He therefore proposed that next year we have the Old Bike Gathering and one or more Bike Meets like the one held on 9<sup>th<\/sup> October this year, but we do not have the C&amp;C show. &nbsp;<\/p>\n\n\n\n<p>The motion was put to the floor and carried.<\/p>\n\n\n\n<p>There was some discussion on this. It was noted that the Branch made no money out of the OBG and the October Bike Meet whereas the C&amp;C summer show had been an important part of the Branch\u2019s income in previous years. The Branch should consider how to increase its income in other ways.<\/p>\n\n\n\n<p>Suggestions for making money at bike meets and small shows included holding a raffle at one of the bike meetings or organising a poker run (or similar bike treasure hunt) with an entry fee and a prize.<\/p>\n\n\n\n<p><strong>11.&nbsp; Regalia<\/strong><\/p>\n\n\n\n<p>This item had been covered earlier in the Regalia Officer\u2019s report. It was suggested that if more t-shirts could be sold at shows this could be a further source of income.<\/p>\n\n\n\n<p><strong>12.&nbsp; Donation to Charities<\/strong><\/p>\n\n\n\n<p>In previous years the Branch had made donations to some charities out of Branch funds. Mick Billing pointed that these were dependent on making money out of the summer show. We had not had a C&amp;C show in 2020 or 2021 and had lost money on the preparations for the show in 2020. As were not planning to have a C&amp;C show in 2022 there was no source of income to cover charity giving.<\/p>\n\n\n\n<p>He reported that we had raised \u00a3160 in donations for the Thames Valley Air Ambulance at the October Lunch Meet and the Branch had added \u00a340 to that making a donation of \u00a3200. This was more than we had donated to them from Branch funds the previous year (\u00a3125).<\/p>\n\n\n\n<p>It was agreed that for the time being we should rely on holding collections for charities at shows and events instead of agreeing a sum to donate to charities at the Branch AGM.<\/p>\n\n\n\n<p><strong>13. Annual Prizes<\/strong><\/p>\n\n\n\n<p>Collin Fox explained the current system where points are awarded for participating in various Branch events and for attending Thursday night club nights. The member with the most points in each category at the end of the year is then given a cash prize at the Christmas dinner. He supported recognising people\u2019s contribution to the Branch, but did not think it should be a cash prize or necessarily based on points given for attendance.<\/p>\n\n\n\n<p>He proposed that the current system of points and cash prizes should be abolished.<\/p>\n\n\n\n<p>This motion was put to the floor and carried with one vote against.<\/p>\n\n\n\n<p>Bob Cromwell noted that system had been introduced to incentivise people to participate and come to club nights and asked how we could replace it with some other incentive.
