  1. Confirmation of the Minutes of the 2021 AGM

The Chair, Derek Young, welcomed all attendees to the 2022 Berkshire Branch of the TOMCC (hereafter referred to as the Branch) AGM.  The minutes of the last Branch AGM (delayed to October 2021 because of Covid), which had been displayed on the Branch website since November 2021, were circulated and the meeting confirmed them as an accurate record of the previous AGM.

3.       Committee Reports

3.1     Chair, MAG Rep, Events Coordinator Report

The Chair, Derek Young, welcomed everyone to the meeting. He noted that it had been only a short time since the last AGM and therefore he had nothing further to report on MAG or shows at this time.

3.2     Secretary’s Report

The Secretary, Don Maclean, reported that Branch membership was 160 members (159 full, 1 associate) which was the same as at the last AGM.

3.3     Treasurer’s Report

The Treasurer, Mick Billing, advised the meeting of the current financial status of the Branch and circulated detailed accounts of the Branch expenditure and income for the twelve months to 17/1/22 and the bank balance on that date. The accounts were recorded to the nearest 1p. Figures below are rounded to the nearest £1.

Total income for the year was £2085, total expenditure was £1962 and £44 was owed to TOMCC HQ giving a surplus of £79.

Cash in the bank was £5549, cash in the float was £56 and stock and fixed assets were £1048, therefore after subtracting the £44 owed to HQ, total assets were £6609.

It was asked whether the metal triangles used to make show prizes were included in the assets and how many there were. Mick stated that there were about 150 of them, but they were not included in the accounts and never had been.

3.4     Scribe and Webmaster’s Report

The Scribe, Nick Swain, reported that Branch reports had been submitted to Nacelle every month, each with one or two photographs.

He noted that at the last AGM, there had been a request to put more photographs of past events that had been on the old website onto the new website. He reported that he had now added a lot more old photos to the new website. He thanked Don Maclean for providing many of the older photos. The latest Branch History produced by Chris Mullard was also now on the site.

The new website now had 142 pages and 758 photographs and additional material was being added all the time, such as  photos of the latest rides.The website had an average of 5 visitors per day with an average of 6 page views per visitor. The most views in a single day was 177.

3.5     Runs Coordinator’s Report

The runs co-ordinator, Collin Fox, reported that we continued to have a lot of runs. The Whatsapp Group used to arrange runs continued to have new members added to it. He noted that anyone in the Branch can organise rides using the Whatsapp Group, suggest ride destinations or lead rides. He welcomed two new members that were at the AGM and invited them to join the Whatsapp Group.

3.6     Regalia Officer’s Report

The Regalia Officer, Derick Nobbs, showed the new style of Branch t-shirt which had a coloured photograph of a Triumph motorbike on the front. These were produced using “Direct to Garment” printing. He reported that we had changed t-shirt supplier to enable this as the previous supplier could only do screen printing, which produces lower resolution images in a single colour. The Branch now held stocks of the new t-shirt for members to buy.

3.7     Tools Registrar’s Report

The Tools Registrar, Mike Ryall, reported that the Branch collection of specialist Triumph tools continued to be borrowed and returned.

A paper copy of the list of Branch tools available was on the notice board on Thursday nights and was also available on the website to download. The website also included details on how to contact Mike by email. He said that if any member wanted a tool that the Branch did not have, then the Branch may purchase it if it was thought to something that a number of members might want. He invited any member who wanted to borrow tools to contact him.

4.  Resignation of Existing Committee and Election of New Committee

Derek Young reported that three new committee members had been nominated to join the committee alongside the existing seven committee members who had also all been nominated. Derek went through the list of committee nominations as shown below.

Derek asked the meeting to confirm their approval of the new committee. This was carried with no objections. Derek then asked Bob Cromwell to take over the rest of the meeting as Chair.

Bob, as the new Chair, thanked the members of the previous committee for their work in leading the club through the difficult two years of the pandemic. He also thanked all the Branch members for supporting the Branch through this time. He noted that a number of clubs had folded during the pandemic, while we continued to be active

5.       National AGM

Collin Fox noted that the TOMCC National Annual General Meeting (AGM) was being held at the BCSA on Sunday the 10th April. The National Committee were responsible for running the AGM itself, but as the local Branch hosts, we should support them. We want to encourage members to come and stay over on Saturday night and make this a weekend event.

The plan is therefore to have a bike meet, similar to the October one, during the day on the Saturday and to have the skittles alley and the lounge bar available on Saturday evening. We will arrange for the caterer’s to offer hot food on Saturday lunch time, Saturday evening and breakfast Sunday morning. We would also offer free camping on site on Saturday night to members attending the AGM. Bulldog Triumph had agreed to attend on the Sunday and we would be putting up the Branch stand with a display of our bikes on the Sunday.

We need volunteers from the Branch to act as marshals, especially on Sunday, at the entrance and in the car park, to direct visitors to parking and the building entrance.

A member asked whether there would be a ride-out on the weekend. Collin said that this had been considered, and it was not ruled out, but the current view was that we would not have one and concentrate on activities on the site.

A member asked whether we were advertising this in Nacelle. Nick stated that he had put it in the Branch report and had asked for the Saturday bike meet to be included in the calendar section of Nacelle. It was also currently in the Club and Branch Events Section of the National website. He said it was probably too late to get any further adverts about it in Nacelle, but he would enquire. We would also promote details of it on the Branch Website and via Facebook.

6.       Annual Prizes

The Chair noted that at the previous AGM it had been agreed to drop the previous cash prizes based on attendance points, but the committee had been asked to consider what could replace them. The Chair reported that there were no firm proposals yet, invited members to make suggestions and said that the committee would consider further.

7.       Support for charities

Nick Swain noted that at the last AGM it had been agreed to renew our membership of the NABD at a cost of £40 per annum, but we had not made any additional donation to make it up to £100 as we had in previous years. Nick noted that we had a collection for the Thames Valley Air Ambulance at the October bike meet which had resulted in us giving them £200. Nick proposed that at the bike meet to be held on the 9April (prior to the National AGM) we should hold a collection for NABD. Mick Billing explained that the NABD was a charity that provided support to enable people with disabilities to ride motorbikes (eg: by paying for adaptions to bikes). More details of NABD can be found on their website (www.nabd.org.uk).

8.       AOB

A member noted that when renewing bike insurance, it appears that membership of some clubs can result in a discount. However, this does not seem to be the case with TOMCC. Another member noted he had been given a discount on the basis of our affiliation to MAG. It was suggested that this was something that could asked of the National Committee at the National AGM. (Note that the deadline for new proposals at the AGM has passed, but this point could be brought up under AOB).

A member asked whether the TOMCC had considered becoming a charity, as this provides tax benefits. The Chair said that this is something that could only be addressed by the National Committee, not by the Branch.

A member reported that he had been approached by a member involved with events at Thruxton who had asked if we could provide a stand at an event at the Historic Race Meet (11 & 12 June) and/or the British Super Bikes event on the 13/14 August. He noted that our Old Motorcycle Gathering was on the 11 June and the Popham Megameet was on 14August, but that did not necessarily prevent us participating.

A member noted that cash had been given for drinks to remember a member who passed away in 2020 and asked whether people had been invited to an event for this. Subsequent to the meeting, further investigation concluded this was a personal arrangement that falls outside of the remit of the Branch committee.

The meeting was informed that a committee meeting would be held on the 8th March.
